Projects Administrator

We are looking for a Project Administrator to join our account teams supporting a new contract operating across the UK at Thermatic Technical FM.

As a Project Administrator at Thermatic, you will be a key member of the Projects team. The primary objective of the Projects team is to deliver Thermatic’s planned projects to clients safely, efficiently, and to the highest standard.

In this role, you will support Project Managers and Engineers by assisting with project planning, coordination, and general administrative duties. Your contribution will help ensure projects are delivered on time, within budget, and in line with company and client expectations.

Hours & Location of Work:

  • Main location - Thermatic Head Office, Salford. Opportunities to work remotely for a portion of the working week will be available
  • Regular hours of work - Monday to Friday, 8am to 5pm - 40 hour working week

Skills, Experience & Qualifications:

  • Strong customer service and interpersonal skills to deal with different customers and departments within the business
  • Confident data analysis and interpretation skills
  • Multitasking and time management skills to manage multiple customers and tasks at the same time
  • Attention to detail and strong organisational skills
  • Communicating clearly to colleagues at all levels
  • High level of IT literacy and familiarity with MS Office tools
  • Previous experience in an administrative or project support role.
  • Confident using Microsoft Office (Excel, Outlook, Word, Teams).
  • Good written and verbal communication skills.
  • Ability to work collaboratively within a team environment.

Responsibilities include:

  • Assist installation teams during the planning and procurement stages of Thermatic projects.
  • Raise material purchase orders and ensure correct allocation to project budgets.
  • Liaise with third-party suppliers, subcontractors, and logistics partners to ensure clear communication and effective coordination.
  • Allocate labour in line with project programmes and engineer availability, including coordination of night works where required. This will be with support from Project Managers.
  • Upload and maintain project programmes within Teamup, ensuring schedules remain accurate and up to date.
  • Book hotels and accommodation for engineers in line with project requirements.
  • Provide administrative and coordination support to Project Managers and Engineers to ensure smooth and efficient delivery of planned projects.
  • Take accurate minutes during Project Team meetings and huddles, distributing actions appropriately.
  • Maintain ownership of project data and document control within the TTFM workspace, ensuring project folders are organised, accurate, and easily accessible.
  • Ensure all project documentation is stored correctly and consistently to maintain audit-ready records.
  • Deliver a consistently high level of customer service throughout the full lifecycle of each project.
  • Act as a point of contact to support Project Managers during site surveys and mobilisation.
  • Maintain professional and timely communication with clients, responding to queries and coordinating information to support delivery.
  • Update and maintain the engineer training matrix, ensuring certifications and compliance training remain current and recorded.
